# Workflows

> Let Jamie do the work after your meetings: log CRM activities, update records, send notes

> [!NOTE]
>
> Workflows are in Preview. If **Workflows** is not in your sidebar, workflows are not turned on for your workspace yet.

## Create a workflow

**1. Describe it**

Open [**Workflows**](https://app.meetjamie.ai/workflows) from the sidebar and describe what you want in one sentence. For example: *"After every external meeting, create a note in Notion with the summary and action items"*. Or pick a template under **Start from a template**.

**2. Answer Jamie's questions**

Jamie asks for the details it needs, such as which tool to use and which meetings to run on. If the workflow needs a tool that you didn't connect, Jamie offers to connect it.

**3. Check the proposal**

* Which meetings it **Runs on**
* What it **Writes to**
* Whether it should **Ask me first** or **Run automatically**

**4. Create and try it**

Click **Create it**. Then click **Run it on my most recent meeting**, or **Run it on another meeting…**

Jamie writes nothing to your tools while it builds and tests a workflow in the chat.

## When workflows run

| Trigger | What it means |
| - | - |
| **Automatic** | Runs after every meeting that matches the workflow's conditions |
| **Manual** | You click **Run** on the workflow's page and pick a past meeting |
| **Test** | A trial run from the chat while you build the workflow |

**Conditions** decide which meetings a workflow runs on: every meeting, only external meetings, or meetings by title. You can narrow them to a meeting series or a label. Find them under **Conditions** on the workflow's page.

## Approvals

The **Runs automatically** switch in the workflow's **Settings** decides whether Jamie waits for you:

| Runs automatically | What happens |
| - | - |
| **Off** (default) | The workflow shows **Needs approval** for each matching meeting. Open it, check what Jamie is about to do, and click **Run** or **Skip** |
| **On** | The workflow runs as soon as a meeting matches |

Jamie sends nothing to your tools until you click **Run**. If nobody clicks **Run** or **Skip** within 7 days, Jamie skips the run. When you trust a workflow, turn on **Runs automatically**, or ask Jamie in the chat to do it.

## Runs and results

Every run ends with a one-line result, such as "Created Salesforce activity…". Click a run to see every step that Jamie took.

| Where | What you see |
| - | - |
| **Workflows page** | **Needs attention** lists runs that wait for you. **History** lists every run |
| **Workflow's page** | Its **History** tab shows every run of that workflow, newest first |
| **Meeting page** | Click **Workflows** to see what Jamie did after that meeting, live while a run is in progress |

> [!TIP]
>
> **A tool is missing?** The run pauses instead of failing when a connector isn't connected or needs you to sign in again. Connect it, or click **Manage connectors**, then click **Resume** on the run. Jamie continues from where it stopped.

## Manage workflows

Click a workflow to open its page:

* **Edit.** Change the workflow in the chat.
* **Turn it on.** Start a workflow that is off. In **Settings**, turn off **Active** to pause it, or click **Delete workflow** to remove it.
* **Run.** Run the workflow on a past meeting.
* **Overview.** The workflow's **Conditions**, its **Actions**, and what it **Needs**, such as the connectors it uses.

Jamie notifies you when a workflow finishes, and when one is ready for you to run. Choose which notifications you get under **Workflow notifications** in [**Settings → Notifications**](https://app.meetjamie.ai/settings/notifications).

## Workspace workflows

A workspace workflow runs on every member's meetings. A workspace admin builds it once. It needs the Team or Enterprise plan, and it uses only tools that a workspace admin [connected for the workspace](https://docs.meetjamie.ai/agent/connectors/connect.md), never anyone's own connection.

### Build a workspace workflow

**1. Connect the tools for the workspace**

Connect each tool that the workflow writes to for the workspace, not for yourself. See [Ways to connect](https://docs.meetjamie.ai/agent/connectors/connect.md).

**2. Describe it in the Workflows chat**

Ask for a workspace workflow. If you don't, Jamie asks you once whether it should run on every meeting in the workspace.

**3. Test and create it**

The same way as any other workflow.

### How workspace runs work

* **Whose name shows.** The tool records changes as the workspace connection's account, not as the member. If the tool supports it, Jamie names the meeting owner, for example as the HubSpot owner.
* **Approvals.** The approval setting applies to every member. The member whose meeting it is clicks **Run** or **Skip**.

| | Members | Workspace admins |
| - | - | - |
| **In the workflow list** | Not shown | All workspace workflows, with a **Workspace** label |
| **Runs** | On their own meetings, in the meeting's **Workflows** panel, with notifications | Only on their own meetings |
| **Edit, turn off, delete** | No | Yes, for any workspace workflow. Jamie asks to confirm edits |
| **Run by hand** | No | Yes |

### When a workspace workflow stops running

* **A member leaves the workspace.** Their meetings no longer trigger the workflow.
* **A tool has no workspace connection.** Runs pause, and members see that they need to ask a workspace admin. Runs resume when an admin connects the tool for the workspace in [**Settings → Agent → Connectors**](https://app.meetjamie.ai/settings/agent#connectors).
